HR Executive
· Responsible for leading and managing the people management related agenda at the assigned business units.
· Support the effective delivery of a higher performing HR service, by ensuring that the high standards within the team are developed and maintained.
· Act as a single point of the contact for the employees and managers in the respective business unit.
· Work closely with site management and employees to improve work relationships, build morale, and increase productivity and retention.
· Responsible to ensure that all employees in the respective business unit is fully inducted and successfully on boarded.
· Ensure 100% data accuracy in HRMS.
· Work closely with HR Assistants and ensure that employee exit formalities are conducted and recorded.
· Responsible for conducting and recording the employee exit interviews.
· Work closely with site managers on all employee grievance and disciplinary related matters and ensure that appropriate action is recommended.
· Work closely with respective Operations Manager/Site Manager on employee deployment/re-deployment.
· Responsible that employee data changes are timely updated by the HR Assistants.
· All employee claims and re-imbursement prepared by HR Assistants are reviewed and cleared before submitting it to Finance.
· Closely coordinate with respective site/business unit managers to have the timely completion of employee performance assessments.
· Responsible for completing the end-to-end Disciplinary action formalities of employees in respective Business units.
· Work closely with Government Relations and manage all formalities related to the designation changes in Labour card.
· Work closely with Government Relations and manage all formalities related to employee record cancellation in Ministry of Manpower/Labour Office/ROP and Police Clearance for employees.
· Work closely with Government Relations and manage all formalities related to absconding employees.
· Responsible for ensuring the completeness of all formalities related to employee death cases and repatriation.
· Responsible for maintaining the dependent information details of employees and ensuring that Visa/ID Card renewal formalities are taken care off.
· Responsible for processing of Family Visit/Family Joining Visas for employees after getting proper approvals.
· Work closely with respective Operations Manager/Site Manager on removal of employees from HRMS who are not back from Vacation within the stipulated time.
· Responsible to monitor the attrition of respective business units and report the same to the management.
· Responsible for ensuring 100% training compliance of respective business units.
HR On boarding:
· Responsible to administer complete end to end joining and onboarding formalities for all new employees.
· Responsible for updating and maintaining new and existing employee records in HRMS (SAP).
· Provide administrative assistance with pre-deployment and induction training.
· Coordinate with Learning department on new employee induction and ensure that all new employees complete their induction before deployment.
· Responsible for the generating employment contracts, explaining them in detail to the new employees and getting it signed off from them.
· Responsible and ensure that the HR system is updated with employees required data in order to be used for various activities or transactional purposes.
· Responsible for the data accuracy in HR system and for scanning and updating all relevant documents in the system and assigned.
· Aid Business Partner in all administrative activities related to resource deployment and movements.
· Accountable and assist employees in opening the bank accounts before they are deployed to the sites.
· Ensure that all new employees are provided with appropriate uniforms, linens, Safety shoes before they are deployed.
· Responsible for providing temporary financial aid for new joiners and for existing employees through petty cash and ensure that it is always accounted for and tallied.
· Responsible to ensure that proper travel, temporary accommodation arrangements are done for all new joiners.
HR Operations:
· Work in very close coordination with Operations team in understanding the staffing requirements in every site/location as per contract and fulfilling them vide internal movements or external hiring, in line with customer contracts and budget.
· To make regular field trips to locations, conduct town hall meetings, listen to personnel on their grievances, address them as well as communicate company objectives and key messages effectively.
· Work with Operations Mangers and Compensation & Benefits team in processing all salary change requests, promotion requests and ensure they are evaluated considering budgets and in line with salary structures and merit of the case.
· Ensure with the HR team that all transactions.
HR Services:
· Responsible in handling the day-to-day staffing issues such as Employee grievance, complaints, Queries etc; and respond on time.
· Responsible and assist Sr. HR Manager by coordinating with Ministry of Manpower on all matters related to employment of all employees.
· Responsible and assist Sr. HR Services Manager in all matters related to Municipality and all other government bodies as required.
· Responsible for maintaining and regularly updating the Omanization Plan.
· Responsible for all formalities related to employment visa and Civil ID for both new joiners and existing employees.
· Responsible for keeping track of employee passport/visa/ID card renewals and renew them before the expiry of the same.
HR Employee Relations
· Responsible to attend to all employee queries and respond on time
· Responsible for processing the employee full and final settlement excluding Head Office staff.
· Responsible in conducting proper exit interviews and document for all employee leaving the service.
· Responsible to arrange the travel tickets for employees travelling on leave, business travel and for final exits.
· Coordinate with travel agents on air ticketing and invoicing.
· Accountable in reviewing all invoices received from travel agents and submits to finance department for clearing the same.
· Responsible for HR system updates with employee movements, employee vacation re-joining, and passport management.
· Responsible for generation of all offer of employment, employment contract, MoM contracts.
· Responsible for employee passport handling end to end.
· Responsible for keeping track of employee legal records
· Responsible for all employee Legal documents renewals and ensure that all are renewed before the expiry of the same.
· Employees in matters related to their medical conditions by coordinating with medical facility providers under company network.
· Produce and submit reports on general HR activity.
· Prepare all support documentation for final exit of the employee.
· Responsible in coordinating with PRO for ensuring smooth cancellation of employee visa and ensuring safe exit of the employee.
· Responsible to collect all assets attached to employee before his final exit.
· Responsible for adding and removing the departing employees from “Renaissance Life – Company official FB Page”.
· Assist Sr. HR Manager in all employee engagement initiatives vide a structured annual calendar, disciplined budget and high-quality events.
